AYC Annual General Meeting 2020 - REPORTS NOW AVAILABLE ON WEBSITE

Because of the coronavirus pandemic, the EC has decided that this year's Annual General Meeting (AGM) programmed for Sunday 6thDecember will take place virtually.

Routine business at the AGM will include the Chairman's report on the year; receipt of the Treasurer's report and Accounts for the year ended 30 September 2020; receipt of reports from the AYC subcommittees (Membership, Activities Afloat, Training, Harbour Services, Social); election of the Executive Committee members; election of Honorary members; resolutions to amend several Rules.

All reports will be available on the Club website or will be sent to members who have requested information by post. Full members will be invited to vote on the resolutions placed before the AGM. Cadet members will have no vote. In accordance with current guidance, all voting will be conducted in advance of the AGM. Postal votes should be submitted to the Secretary to arrive no later than Friday 4thDecember. Online voting will open at 09:00hrs on Friday 4thDecember 2020 and will close on Sunday 6th December 2020 at 10:00hrs.

Postal voting forms will be sent out with the AGM papers two weeks prior to the AGM by post or email. The system set up by Sailing Club Manager will be used to manage the online voting process and to compile and verify the results. Members will be able to vote on each of the resolutions via the AYC website. You must have log in details to be able to vote online. Joint members who have not supplied a separate email address will be provided with log in details by the Membership Secretary. Members will have one vote each per resolution. As this replaces the usual show of hands, the system will record your name and the option you choose for audit and governance purposes.

The Executive Committee will meet virtually at 11:00hrs on Sunday 6thDecember 2020 and results of all voting will be published on the website by 18:00hrs on the same day.

The Open Forum, which usually follows the AGM will be deferred until social distancing guidance allows. This means that the band of volunteers who usually help out at the AGM (Chrissie, Bob, Dennis, Dawn et al) can have a year off this year!
